Sourcing Guide - Updated October 2026 - Reading time 8 minutes
Two suppliers quote the same 5,000-piece hair clip program. One returns USD 0.62 per piece, the other USD 1.85. Neither is lying. The difference sits in four variables: the minimum order quantity band the price is built on, the finishing route, whether tooling already exists, and what is included in the carton. Read those four and you can judge a quotation in five minutes instead of five emails.
This guide is the buyer-side version of the questions we answer every week, written for brands, importers and private-label sellers sourcing hair accessories, fashion jewelry and bags from China in 2027.
1. The Four Variables Behind Every Quotation
When a price looks 3x off, it is almost never the labour rate. It is one of these:
- Quantity band. A quote built on 600 pcs and a quote built on 30,000 pcs come from different cost structures. Machine setup, plating bath volume and assembly changeover are fixed costs divided by a very different number of pieces.
- Material and finishing. Acetate, acrylic, cellulose, alloy and stainless steel behave differently in polishing and plating. Flash plating, PVD coating and spray painting carry different costs and different durability - see our comparison of PVD coating vs flash plating.
- Tooling status. An existing mould only needs a colour change. A new shape needs a mould, a trial shot, and a sample round - all of which has to be amortised across the order.
- Packaging and display. Polybag, backing card, hang tag, gift box, blister tray and carton marks each add cost and each add days. This is the item buyers most often leave out of the brief and most often argue about at the end.
2. MOQ in 2027: 600 Pcs Standard, 300 Pcs First Order, 3,000 Pcs for Combs
Minimum order quantity is not a sales gate, it is a line-balance decision. Below the line-balance point, the fixed cost of running the line is paid for by too few pieces, and the unit price either becomes unrealistic or the quality drops because plating bath chemistry and injection parameters are harder to hold steady in a short run.
Standard runs: 600 pcs per style per colour
Our regular MOQ is 600 pcs per style, per colour. This covers stock designs, existing moulds with a new colour, and custom logo cards or hang tags. In practice this means a buyer can build a 3-style, 4-colour program of 1,800 to 2,400 pcs and still stay inside the standard band, because the 600-pcs threshold is assessed per style and colour rather than per shipment.
First order for long-term partners: 300 pcs
We hold a 300-pcs opening order for buyers who are committing to a repeat program - a first order to test sell-through, validate packaging, or enter a new market without locking capital. The condition is straightforward: the 300-pcs band applies to the first order only. From the second order onward the program returns to the 600-pcs standard. Treat the first order as a market test, not as the new price basis.
Combs and brushes: 3,000 pcs
Combs are a different product family. They are injection moulded on dedicated tooling with a long cycle time, then go through a separate polishing and de-burring line before assembly. A run of 3,000 pcs is the minimum that keeps the unit cost sane and the polishing quality consistent. If you are adding combs to an accessories program, plan them as a separate line item in the brief, not as a colour extension of a clip order.
| Order profile | MOQ | Who it applies to | What it is for |
|---|---|---|---|
| Standard production run | 600 pcs per style / colour | All buyers, new and repeat | Normal replenishment and new style launches |
| Long-term partner first order | 300 pcs per style / colour | Buyers committing to a repeat program | Market test, packaging validation, new market entry |
| Combs and brushes | 3,000 pcs per style | All buyers | Dedicated mould, separate polishing and assembly line |
| New mould / new shape | 3,000 - 5,000 pcs typical | Buyers developing exclusive designs | Covers mould making, trial shots and sample rounds |
Sample orders are handled separately: 1 to 5 pcs of a stock design or a colour swatch, charged at a sample fee, usually credited back against the bulk order. Use samples to settle finishing and colour, not to settle quantity.
3. Customization Tiers and What Each One Does to Your MOQ
Customization is a ladder. Each step up adds tooling, samples and time, and each step can move the economic order quantity.
- Tier 1 - Stock design, custom branding. Your logo on a backing card, hang tag or gift box. 600 pcs. Lowest cost, fastest turnaround, ready in 7 to 10 days after artwork approval.
- Tier 2 - Existing mould, new colour or new finishing. New colourway, PVD instead of flash plating, matte or pearl finish, mixed colour sets. 600 pcs. Adds a plating or spraying batch to the schedule.
- Tier 3 - New mould or new shape. Exclusive design, size change, mechanism change. Typically 3,000 to 5,000 pcs, plus a one-off tooling fee that is quoted separately and can sometimes be amortised across the first two orders. Plan 15 to 20 extra days for mould making and trial shots - the process is described in detail in our OEM customization walkthrough.
- Tier 4 - Full ODM development. We develop the concept, materials, packaging and assortment with you. Quantities are agreed per project; see how ODM partnerships accelerate a launch.
4. Sampling and Production Timeline
The dates below are working days from a complete brief, meaning dimensions, material, finishing and packaging are all specified. Incomplete briefs are the single most common reason a schedule slips.
| Stage | Working days | Note |
|---|---|---|
| Brief to tech pack | 2 - 3 | Drawing, dimensions, material and finishing locked |
| Sample - existing mould, new colour | 7 - 10 | Includes plating or spraying batch |
| Sample - new mould | 15 - 20 | Mould making, trial shot, polishing |
| Revision round | 3 - 5 | Per round; two rounds is normal |
| Pre-production sample approval | 3 - 5 | Sign-off before bulk starts |
| Bulk production - existing tooling | 20 - 30 | After approval and deposit |
| Bulk production - new tooling | 30 - 45 | Includes mould debugging |
| Combs and brushes | 30 - 40 | Separate polishing and assembly line |
5. Where the Money Goes: Cost Breakdown
This is the rough share of a landed unit price for a mid-volume decorated hair accessory. Exact percentages move with design complexity and quantity band, but the proportions are stable enough to use as a sanity check on any quote you receive.
| Cost element | Share of unit price | What moves it |
|---|---|---|
| Raw material | 35% - 50% | Acetate vs acrylic vs alloy; recycled or PCR material options |
| Plating and finishing | 8% - 15% | Flash plating vs PVD vs painting; the biggest durability lever |
| Assembly and labour | 10% - 18% | Hand-assembled bows and rhinestones sit at the top of the range |
| Packaging and display | 6% - 12% | Polybag vs backing card vs gift box; artwork and setup |
| Testing and compliance | 2% - 5% | Nickel release, lead and cadmium, REACH documentation |
| Tooling amortisation, QC and freight booking | remainder | Spread across the run, so quantity band changes this line most |
Two practical conclusions. First, material and finishing together account for roughly half the unit price - that is where a specification change actually saves money, and where a cheap quote usually hides its savings. Second, the packaging line is the fastest place to cut 8 to 10 cents without touching product quality. If you source acetate items, the material differences are covered in our acetate hair clip quality guide.
6. Lead Time and Logistics by Order Size
Production time and transit time are separate clocks. Plan both, and fix the packaging artwork on the day you place the order - every day of artwork delay moves the ship date.
| Mode | Door-to-door | Fits | When to use it |
|---|---|---|---|
| Sea freight (LCL / FCL) | 32 - 40 days | 5,000 pcs and up | Planned replenishment, lowest cost per unit |
| Sea-express / fast boat | 18 - 22 days | 1,000 - 5,000 pcs | Seasonal programs that missed the sea cut-off |
| Air freight | 8 - 12 days | 300 - 2,000 pcs | Late restock, high-value or light items |
| Express courier | 5 - 7 days | Samples and under 300 pcs | Approval samples, urgent top-ups |
If you are reading this in the middle of a holiday season, the cut-off logic and the air-freight options are set out in our 2026 last-minute restock note - the same mechanics apply to any peak window.
7. Six Numbers to Put in Your First Inquiry
An inquiry that contains these six answers is quoteable in one reply. An inquiry missing three of them typically costs three rounds of email and a week of calendar time.
- Style count and colour count, as separate numbers.
- Target quantity per colour, so we can tell you immediately whether you sit in the 600-pcs band or the 300-pcs first-order band.
- Material preference: acetate, acrylic, cellulose, alloy or stainless steel.
- Finishing: flash plating, PVD coating, spray painting, matte or gloss.
- Packaging: polybag, backing card, hang tag, gift box or blister tray.
- Destination port and the date you need the goods on shelf.
Add a reference photo or a competitor link and we can usually confirm feasibility, price band and slot date the same day.
8. How to Compare Two Quotes Fairly
- Normalise the quantity band. A price at 30,000 pcs compared with a price at 600 pcs tells you nothing.
- Confirm whether tooling is included or billed once.
- Ask what is excluded: testing reports, artwork, carton marks, pallets, insurance.
- Check the breakage allowance. A 2% allowance on a weak hinge design is worth more than a 5-cent price difference.
- Convert both quotes to landed cost per sellable unit, not per shipped unit.
Bottom Line
MOQ is really a negotiation about who carries the setup cost. At 600 pcs per style and colour, the setup cost is shared sensibly. At 300 pcs on a first order, we absorb part of it to start a long-term program. At 3,000 pcs for combs, the dedicated line simply needs the volume. Tell us your colour plan, your finishing and your shelf date, and we will tell you the cheapest route to it - including when a smaller first order is the smarter commercial decision.
